Handling Applicant Data

We offer you the opportunity to apply for a position with us (e.g. by e-mail, postal or online application form). Below we inform you about the scope, purpose and use of your personal data collected during the application process. We assure that the collection, processing and use of your data will be in accordance with applicable data protection law and all other legal provisions and that your data will be treated strictly confidential.

Scope and Purpose of Data Collection

When you submit an application, we process your personal data (e.g. contact and communication data, application documents, notes during interviews, etc.), as far as this is necessary to decide on the establishment of an employment relationship. The legal basis for this is § 26 BDSG under German law (initiation of an employment relationship), Art. 6 para. 1 lit. b GDPR (general contract initiation) and - if you have given your consent - Art. 6 para. 1 lit. a GDPR. The consent can be revoked at any time. Your personal data will only be passed on within our company to persons who are involved in processing your application.

Data Retention Period

If we are unable to offer you a job, if you reject a job offer or withdraw your application, we reserve the right to use the data provided by you on the basis of our legitimate interests (Art. 6 para. 1 lit. f GDPR) up to 6 months from the end of the application process (rejection or withdrawal of the application). The data is then deleted and the physical application documents destroyed. The storage serves in particular as evidence in the event of a legal dispute. If it is apparent that the data will be required after the expiry of the 6-month period (e.g. due to a looming or pending litigation), the deletion will not take place until the purpose for the further retention ceases.

Longer storage can also take place if you have given your consent (Art. 6 para. 1 lit. a GDPR) or if statutory retention obligations prevent a deletion.

Admission to the Pool of Candidates

If we do not provide you with a job offer, you may be able to join our pool of applicants. In case of admission, all documents and information from the application will be transferred to the applicant pool in order to contact you in case of suitable vacancies.

Admission to the pool of candidates is based exclusively on your explicit consent (Art. 6 para. 1 lit. a GDPR). The consent is voluntary and is not related to the current application process. The person concerned can revoke his consent at any time. In this case, the data will be irrevocably deleted from the applicant pool, provided that there are no legal retention reasons.

The data from the pool of candidates shall be irrevocably deleted no later than two years after the consent has been given.
